Accurate books, on-time VAT returns, complete Making Tax Digital compliance
Your Books Kept Current, Your VAT Filed on Time, Every Quarter
Falling behind on bookkeeping is one of the easiest ways for a business to lose control of its finances, and it makes VAT season far more stressful than it needs to be. Under Making Tax Digital, every VAT-registered business must keep digital records and file through compliant software, so disorganised paperwork or a shoebox of receipts is no longer an option.
MCL Accountants provides fixed-fee bookkeeping and VAT return services for sole traders, limited companies, landlords and contractors across Southend-on-Sea and Essex. We keep your records accurate and up to date throughout the year, apply the right VAT scheme for your business, and submit every return to HMRC well before the deadline, so you always know where you stand.
Our bookkeeping and VAT service covers everything from day-to-day record keeping through to quarterly submissions and HMRC correspondence, so your finances stay accurate, compliant and easy to understand throughout the year.
We record your income and expenses, reconcile your bank and card transactions against your accounts, and keep your ledgers accurate and current. This gives you a clear, real-time picture of your finances rather than a rushed reconstruction at year-end or VAT quarter-end.
We monitor your turnover against the £90,000 threshold, manage your VAT registration with HMRC when the time is right, and advise on the most suitable scheme, whether that's Standard, Flat Rate or Cash Accounting, based on your sector and trading pattern.
We prepare and file your VAT returns through Making Tax Digital-compliant software, review your input and output VAT for accuracy, and submit ahead of the deadline every quarter, so you never risk a penalty point or a late payment charge.
We set up and configure Xero, QuickBooks or FreeAgent for your business, connect your bank feeds and payment systems, and provide training so you or your team can use the software confidently, with our support always on hand.
Beyond compliance, we provide clear management reports and dashboards showing profitability, cash flow and key trends, giving you the financial visibility to make informed decisions throughout the year, not just once the accounts are finalised.
We review your VAT treatment periodically to catch errors before HMRC does, and if an enquiry or penalty notice does arrive, we handle the correspondence, prepare any appeal where there is a reasonable excuse, and represent your interests throughout.
Whatever your business structure or size, accurate books and correctly filed VAT returns are a legal requirement, not an optional extra. Our service is built for:
Not sure whether you need to register for VAT yet, or which scheme suits your business? We can review your figures and advise on the right next step before any deadline pressure sets in.

Bookkeeping and VAT raise specific questions around thresholds, Making Tax Digital, schemes and deadlines. Below we answer the most common queries. If your question isn't covered here, please get in touch - we're always happy to help.
Not strictly, but it makes VAT compliance far easier and more accurate. Under Making Tax Digital for VAT, every VAT-registered business must keep digital records and submit returns through compatible software. A bookkeeper who reconciles your accounts regularly, rather than only at quarter-end, means your VAT return is built on accurate, up-to-date figures, reducing the risk of errors, under-claimed input VAT, or last-minute scrambles to find missing invoices.
The VAT registration threshold is currently £90,000 of taxable turnover in any rolling 12-month period, not a fixed calendar or tax year. If your turnover exceeds this at the end of any month, you must register with HMRC within 30 days. The deregistration threshold, if your turnover later falls, is £88,000. We monitor your figures on a rolling basis so you register at the right time, neither too early nor too late.
Making Tax Digital for VAT is mandatory for all VAT-registered businesses. It requires you to keep digital records of your transactions and submit VAT returns using HMRC-recognised software, such as Xero, QuickBooks or FreeAgent, or approved bridging software if you use spreadsheets. Submitting directly through the HMRC portal is no longer permitted for VAT-registered businesses. We set up MTD-compliant software for you, link it to HMRC, and manage your quarterly submissions throughout.
Late submission and late payment are treated separately by HMRC. A late VAT return earns a penalty point, and once you reach the points threshold for your filing frequency, a £200 fine applies, followed by a further £200 for every subsequent late submission until you file on time consistently. Late payment carries its own charges, starting once you are more than 15 days overdue, plus daily interest on the outstanding balance. We track every deadline for you and submit well ahead of time, so penalties simply do not arise.
It depends on your turnover, sector and how your customers and suppliers are structured. The standard scheme suits most businesses with mixed input and output VAT, the Flat Rate Scheme can simplify VAT for smaller businesses with limited expenses, and Cash Accounting can help cash flow by only accounting for VAT once you have actually been paid. We review your circumstances and recommend the scheme that genuinely suits your business, not a one-size-fits-all default.
Most VAT-registered businesses submit quarterly, with the return and payment due one calendar month and 7 days after the end of each VAT period. Some businesses use monthly returns, typically if they regularly reclaim VAT, or the Annual Accounting Scheme with fewer, larger submissions. We confirm your filing frequency, build a submission calendar around it, and send advance reminders so nothing is left until the deadline.
Yes. Catching up backlogged bookkeeping is one of the most common projects we take on. We review what records exist, reconstruct missing periods from bank statements and invoices where needed, reconcile everything against your bank accounts, and bring your books fully up to date. Once caught up, we move you onto a regular bookkeeping routine so you never fall behind again.
We work with all the major MTD-compliant platforms, including Xero, QuickBooks and FreeAgent, and recommend the right one based on your business size, sector and existing systems such as EPOS or payment providers. We handle setup, bank feed connections, chart of accounts configuration and staff training, then provide ongoing support so the software keeps working for you rather than becoming another admin task.
We provide bookkeeping and VAT return services to businesses across Southend-on-Sea, Leigh-on-Sea, Thorpe Bay, Rayleigh, Rochford, Basildon, Chelmsford and the wider Essex area, as well as clients based in London. Wherever you are based, our team can work with you remotely using cloud software or face-to-face at one of our Essex offices.
Don't let bookkeeping backlogs or VAT deadlines catch you out. Get clear, tailored support and let us handle the records, the reconciliations and the submissions.
